Program Review Presenter Preparation

The August 10-11 program review will be held virtually via Zoom. In place of live talks, each presenter is asked to submit a prerecorded video presentation to be played on Zoom and followed by a moderated, real-time Q&A.

Overview

Presenters should take the following steps in order to prepare their recording:

  • Download Zoom here.
  • Set your default Zoom name and profile picture.
  • Set your virtual Zoom background. Choose the "HD" option within the Video settings if your camera/hardware is compatible; this will result in a sharper looking image.
  • Ensure you have a stable Internet connection, preferably hardwired to avoid potential Wi-Fi connectivity issues the day of your talk/live Q&A.
  • If presenting a poster, we recommend converting your poster to a presentation. Instructions on how to do so in MS PowerPoint can be found here.

Recording Your Presentation

  • Use Zoom to record your presentation by following these instructions.
  • Situate yourself in front of a neutral wall or backdrop, and adjust lighting conditions to ensure that your face is properly illuminated (avoid sitting in front of a light or window).
  • Do your best to look at the camera while recording and keep your head within the frame.
  • Set your virtual Zoom background for either SSGF or LRGF.

Uploading Your Presentation

  • Upload your mp4 presentation video and a PDF of your 16:9 slides to Box using the link provided in your instruction email.
    Files are due to Krell on or by Monday, June 28.
  • A member of the Krell team will review the files and confirm receipt within two business days.

Day of Presentation

Please direct any day-of or presentation-related questions to ssgf_conf@krellinst.org and a Krell staff member will respond promptly.

30 Minutes Prior to Your Assigned Presentation Time

  • Save a copy of your slides to your local machine. Open this file and have it ready to share/reference (during the Q&A period).
  • Ensure you have a stable Internet connection, preferably with a hardwired connection to avoid potential Wi-Fi connectivity issues.
  • Situate yourself in front of a neutral wall or backdrop, and adjust lighting conditions to ensure that your face is properly illuminated (avoid sitting in front of a light or window).
  • Check your audio and video connections (via Zoom) to ensure they are working correctly.
  • Join the Zoom webinar 15 minutes early.
  • Ensure your default name and profile picture on Zoom appear previously set.
  • The host will designate you as a panelist in the break period (approximately 5-10 minutes) prior to your assigned start time. (If you are the first presenter of the day, this will happen at roughly 9:45 a.m. or as soon as you join the call.)

During Your Presentation

  • The host will introduce you before playing your pre-recorded presentation.
  • While your talk recording is playing, please have your slides open and ready to share when prompted.
  • When your video has concluded, Krell's Thomas (Tom) O'Donnell will bring you into view and ask that you share your slides. Tom will then facilitate a live Q&A period of up to five minutes. While you can monitor questions via the Zoom Q&A window, please do not click on any buttons. Tom will dismiss a question as soon as it is answered.
  • Tom will indicate that the final question has been answered or time is up (whichever comes first). The host will then bring the presentation period to a close, with a break to follow prior to advancing to the next presenter. You will then be restored to attendee status to view other talks as an audience member.
  • Krell staff will post the day's recordings on the program review website within 24 hours of close.
