Travel Booking Guidelines
Incoming, first-, second- and third-year fellows are required to use Travel and Transport to reserve their air or train reservations. Visit Travel and Transport to begin your reservation process. Fourth-year fellows will be responsible for booking their own travel reservations, whether directly with the airline or train company, via an online discounter, or by some other means. All fellows should arrive at the Capital Hilton in time to participate in late afternoon activities on Tuesday, June 25.
All Other Attendees
Alumni and other non-fellow attendees will be responsible for booking their own travel, whether directly with the airline or train company, via an online discounter, or by some other means. All guests should plan to arrive on Tuesday, June 25, with Washington Reagan (DCA) as the recommended airport.
Travel Policy & Booking Deadline
For more information on travel guidelines, including special situations that require preapproval or submission of comparison airfare prior to purchase, please refer to the travel policy. As stated in the policy, all reservations qualifying for reimbursement must be made a minimum of 21 days in advance of the event, or by Friday, May 31.
Specific travel-related questions should be directed to Krell's travel reimbursement coordinator prior to booking in order to guarantee authorization and/or full reimbursement.
All attendees are responsible for their own ground transportation arrangements to and from the program review hotel. Again, Washington Reagan National Airport (DCA) is the preferred airport for this event due to proximity to the meeting site. The Capital Hilton does not offer a complimentary shuttle service, so options include taxi, an app-based ride service, or Metro. Those arriving by train will find it easiest to take the Metro from Union Station, with the Farragut North and McPherson Square stations both within close walking distance to the hotel [see system map].
A rental car is not a necessary expense and will not be reimbursed.
